How to manage your calendar & appointments

I built this booking console just for you two — a clean place to take Discovery Call requests, confirm the ones that work, and control your availability without living inside a third-party calendar app. Everything syncs live between you, so either of you can keep it tidy.

Poke around, break things, tell me what feels off — this is still a work in progress and your feedback drives the next round.

Tap the Admin button in the top-right of the nav bar and you'll be prompted for it. Once unlocked, you'll stay in for the session.

See all your bookings at a glance. Navigate week by week. Click any slot to act on it.

🔄 How a booking flows

Client picks a slot
They choose a date and time on the public booking page, fill in their name, email, and a note, and submit.

Booking is auto-confirmed
The slot turns green immediately. Both the client and you get a confirmation email. That time is locked in.

Something came up?
Open the booking from the sidebar and hit Cancel this booking & email client directly. The slot frees up, and you reach out to the client personally via email/phone to reschedule.
📅 Reading the week calendar

The calendar shows Mon–Fri (and Sat if you have Saturday availability). Each column is a day; rows are time slots. Use the Prev / Next arrows to move between weeks, or Today to jump back.

 
Light green — available slot
This time is open for bookings. As admin, clicking it lets you manually add a booking or block the slot.
 
Green — Confirmed booking
Every new booking auto-confirms. Click to see details or cancel if something comes up.
 
Red — Declined
You declined this booking. Slot is freed up.
 
Diagonal red stripes — Blocked
You've blocked this slot (or the whole day). Clients can't book it. Click a blocked slot in admin to unblock.
💡 Block a single date or slot: Click any available slot in admin mode — the modal gives you three actions: Book This Time, Block This Time (this date only), or Block Entire Day. Blocking is date-specific and does NOT alter your weekly availability pattern.
💡 Quick day block: Each day column in the admin calendar has a small red Block day button under the date. One click blocks the whole day; click again to unblock.
💡 Admin booking: Same modal — click any available slot and use Book This Time to manually add a phone or in-person request.
🟩 Setting your availability

The availability grid is the source of truth for what clients can book. All times are Mountain Time (Utah). Clients see slots converted to their own timezone automatically.

Jump to the availability section
Click the purple ⚙ Set / change availability ↓ button under the week calendar, or scroll down — it's in a purple-headed section called "Your Availability".

Use a Quick Action preset
The Quick Actions bar has four one-click presets: Weekdays 8a–4:30p (with 12–2 break), Mon–Sat 8a–4:30p, Copy Monday → whole week, and Clear all. Fastest way to set a schedule from scratch.

Fine-tune by cell
Click any individual cell to toggle that 30-min slot on or off. Each day header also has tiny All / None buttons if you want to flip a whole day at once.

No save button — everything syncs instantly
Changes hit the database live and the week calendar refreshes. If Raulin is also looking at admin at the same time, he sees your changes within a second or two.
💡 Weekly vs. one-off: The availability grid sets your recurring weekly pattern. To block a specific date without changing your weekly schedule (e.g., a day off next Tuesday), use the Block day button on the calendar instead — see the Calendar tab.
📋 Managing appointments

The left sidebar lists all incoming bookings. Every new booking is auto-confirmed — the client immediately gets a confirmation email, and you get an admin alert.

Click a booking in the sidebar or calendar
A detail panel opens showing the client's name, email, phone, session type, and any notes they left.

If something comes up
Hit Cancel this booking & email client directly. The slot frees up, and you personally reach out to reschedule. The client's confirmation email already tells them you'll contact them if anything unforeseen happens on your end.

Manual bookings
Click any available slot in admin mode and use Book This Time to add a phone or referral booking yourself.
⚙️ Settings panel

The settings panel lives below the availability grid. Changes save instantly.

Session Duration
Currently set to 30 minutes for Discovery Calls. This controls how long each booking slot appears on the calendar.
Buffer Time
Currently 15 minutes after each session. Prevents back-to-back bookings — gives you breathing room between calls.

Email Notifications — LIVE ✓
Every new booking automatically sends a branded confirmation to the client AND an alert to jill@3deepcoaching.com (via Resend). Both toggles default on.
Advance Notice
Clients must book at least 24 hours ahead. Same-day and next-day slots are automatically blocked on the public booking page.

Client timezone auto-conversion
You set availability in Mountain Time (Utah). Clients see slots in their own local timezone automatically (DST-aware) — no math needed on either side.
